2008 Aruba Famtrip Guidelines

For Tour Operators & agents

1. All famtrip/ educational programs have to be coordinated through the Aruba Tourism Authority offices.

2. Official famtrip/educational months are from May 1 through October 31, 2008. Black out periods may apply. November on request

3. ATA will accept a maximum of 2 famtrips / educationals per weekend worldwide during the official famtrip/educational months. There is also a maximum number of famtrips/ educationals per tour-operator, depending upon the judgment of the ATA office in the region.

4. The regional ATA offices must use & complete the famtrip application form to request a famtrip.

5. The regional ATA offices are in charge of sending :(1)the famtrip guidelines and (2) travel agent’s form to the agents (in addition to the invitation) to the tour operators/ travel agents. The travel agents should sign form # 2 and fax it back to the regional ATA office prior to their arrival on island.

6. The regional ATA offices should fax the signed form # 2 to ATA Aruba at least two weeks before the group’s arrival.

7. The regional ATA offices are responsible for the screening of the agents.

8. Agents will only be accepted on a famtrip/educational, if they have been working as an agent for more than one year. All tour-operators should be briefed on the guidelines by the regional ATA offices concerned.

9. The regional ATA offices should inform ATA PR and the host hotel of any flight delays and send the completed famtrip application form.

10. All famtrips/educationals are for a period of 3 nights / 4 days. Exceptions for additional nights are upon request , depend on space availability at a special rate.

11. The regional ATA offices (or the Tour operator) are also responsible for faxing a complete list of the participants, including the agent’s correct names, telephone & fax numbers, agency’s names & addresses, e-mail addresses and IATA number in an excel file. This must be received prior to the group’s arrival in Aruba, at least 1 week.

12. The host hotel will host the first breakfast function and site inspection. Where ATA Representative will explain the program and the hotel representative can elaborate on the hotel features.

13. The ATA rep is required to accompany the group at all times during all scheduled activities and functions.

14. The famtrip program involves quite some walking and requires that the agents be in a reasonably physical condition as the site inspections are mandatory.

15. Travel Insurance is mandatory for all participants to cover costs involving accidents, and illnes which require hospitalization. In case of cancellations to cover penalty and/or cancellation fees (such as airline penalty fee). The cost of this insurance is at the expense of the travel agent. The agents must have cash for incidentals.

16. The maximum number of persons allowed per famtrip is 15, including escorts. All agents will stay in double rooms. Agents who wish to stay in single rooms have to check with the hotel upon arrival if there is availability and pay the extra cost per night to the hotel upon check in. The cost varies per hotel and neither ATA nor AHATA are responsible for this.

17. The total fee for a famtrip/educational, worldwide is US$ 60 per travel agent. This amount covers the following items: 2 breakfasts, 2 lunches, 2 dinners, all scheduled transfers, some service charges, an island tour, hotel site inspections and one water-sport activity. A famfee of US $ 70 has to be paid by groups that are staying for a longer period to cover extra meal functions and room nights (This fee is presently applicable for Canada only).This fee will only be waived for one (1) of each representative of the airline; tour-operator, ATA and the local operator, if applicable. Rooms are provided on a complimentary basis. Any program functions not attended are not refundable. For 7 nights famtrip/educational of charter operators an additional fee of $25 per night (extra 4 nights) is charged for accommodations.

18. All fam participants must attend all scheduled functions and activities.

19. In case of an European fam, the host hotel should provide a fruit basket and/or sandwich in their room upon arrival, because there will not be meal function on the day of arrival (if they arrive on the KLM flights)

20. All famtrips/ educationals need to be pre-paid or guaranteed by credit card authorization, at least 10 working days prior to the arrival of the group in Aruba .This is applicable for ALL markets and the ATA regional offices are responsible for the necessary follow up. If payment for the group is not received, at least 10 working days prior to their arrival, ATA and/or AHATA will cancel the trip and will advise ATA Regional Rep, Host hotel and the tour-operator of this. Neither cash nor checks are accepted. AHATA to call ATA representative and or Tour Operator immediately.

21. AHATA will distribute the final program, provided by ATA, to the AHATA members & allied members. ATA will not send out any programs of paid fams. The final program will include the total number of participants and escorts/ representatives. The total number of participants on the program sent within 1 week of the start of the program will be considered the definite number of participants. Based on this number, the tour-operator will have to make their payment. The local ATA rep should inform AHATA & the hotels concerned of any changes ASAP & in writing. Only when payment is received, AHATA will forward the program to its members.

22. The airport facility charge (airport tax) is of US $34 per person for passengers departing on non-US bound flights and US$ 37 per person for passengers departing on US bound flights. If this tax is not included in the airline ticket, then each participant is responsible for this. This tax is due upon departure from Aruba.

23. The tour-operator will advise ATA, which ground operator they work with for example: De Palm Tours, EL tours or KTS.

24. The ATA representative will provide all agents with a famtrip/ educational survey. This should be completed before departure and returned to ATA.

25. A change of host hotel is only possible if ATA receives the request in writing, one month prior to the group’s arrival date and if there is availability.

26. If the host hotel bumps the group for whatever reason, they are responsible to look for a host hotel and to inform ATA & AHATA of this.

27. In addition, the smaller hotels with limited F&B facilities have the option of offering a cocktail party with several heavy snacks, instead of a sit down dinner.

28. If there isn’t a dinner scheduled after the “bar-hopping” site inspections, the hotels visited should serve several heavy snacks. ATA is to inform the hotels on the programs that they need to provide heavy snacks.

29. The Aruba Gastronomic Association offers a special travel agent rate of US$ 31.20 per person, per dinner. This optional dinner is at own expense - not included in the famtrip/ educational fee. Please advise the agents to make their reservations early by using the on-line travel agent form on AGA website www.arubadining.com, sending email to aga@setarnet.aw, calling (297) 586-1266 or faxing (297) 586-3797.

30. Please note that, in principle, a famtrip/educational for travel agents can not be combined with a famtrip/educational for travel writers.

31. Family members or friends of a participating agent (from all markets) will not be accepted unless the full fee is paid, consisting of the regular fee of US$ 60 plus a surcharge for meals of US$ 12 per breakfast, US$ 15 per lunch and US$ 30 per dinner. These arrangements must be approved in advance by ATA and AHATA and the room arrangements need to be arranged at an extra cost per room ($25).

 

The famtrip/educational program features the following components for all markets:

• An ATA guide, who will accompany the group throughout their scheduled program;

• 2 breakfasts

• 2 lunches

• 2 dinners

• All scheduled transfers

• An island tour

• One water-sport activity

• Note: only meal functions/nights are deductible if not programmed. Extra nights are sold at US$ 25 p/p/p/n. Only AHATA affiliated organizations can be paid for functions within this fee. Other functions have to be paid separately.

• Single rooms, if available, must be arranged directly with the hotel upon arrival at the agent’s own expense.
